Writing a booking email on a laptop

A venue booker's inbox is a wall of "Hey! We're a 4-piece alt-rock band and we'd love to play your venue!" Your job is to not be that email. Bookers are answering three questions in five seconds: *can you play, will you draw, and are you easy to work with?* The email that gets booked answers all three fast.

The structure

  • Subject: band name, ask, date range. "The Marlowes — booking inquiry, weeknights in October."
  • Line 1: who you are and why *this* room — one sentence proving you know the venue. "We're a three-piece playing the same lane as [act that plays there]."
  • Line 2: the draw evidence — your last comparable shows, real numbers. "We drew 60 at [room] in March and 45 at [room] in May."
  • Line 3: the easy-to-work-with signals — set lengths available, your own PA or not, and one link to your press kit.
  • The ask: specific dates or a range, and a clean close.

Five sentences. Everything else the booker needs lives behind the link.

The link matters more than the email

Attachments get quarantined; scattered links get skipped.
